Taronga Western Plains Zoo Dubbo is looking for an experienced and motivated Events Coordinator to join our Taronga Western Plains Zoo Operations team!

About the Role

As Events Coordinator, you’ll play a vital role in planning, preparing, and delivering exceptional events at Taronga Western Plains Zoo. This is a hands-on position where no two days are the same — one day you’ll be running a corporate function or wedding on-site, the next you’ll be coordinating bookings and logistics behind the scenes.

Working closely with clients, suppliers, and internal teams, you’ll ensure every event is delivered smoothly on budget, and to the highest standard, creating memorable experiences that align with Taronga’s mission of conservation and community connection.

Key Accountabilities

*Deliver outstanding guest service by ensuring every event runs seamlessly and exceeds client expectations.

*Oversee front-of-house operations for functions, including set-up, pack-down, and on-the-day coordination.

*Act as the main point of contact for clients — from handling initial enquiries and confirming bookings to providing clear communication and follow-up after events.

*Create and manage staff rosters to ensure appropriate coverage for both daily operations and special events.

*Handle financial processes such as payments, invoicing, and reconciliations, while keeping events on budget.

*Monitor and order stock, supplies, and equipment needed for successful event delivery.

*Collaborate with internal teams to deliver events that reflect Taronga’s values and sustainability goals.

*Comply with all Work Health & Safety requirements and take a proactive approach to maintaining a safe workplace.

*Identify opportunities to improve systems and processes, contributing to continuous growth and innovation in the events team.

About Applying…

Please submit your resume and a cover letter of one page. You are also required to complete the below three target questions as part of your application.

  1. Event Delivery in a Unique Setting

Taronga Western Plains Zoo has multiple venues across a large site, including outdoor areas and indoor spaces. Describe a time you managed an event in a challenging or unusual environment.

How did you adapt your planning and on-the-day coordination to ensure a seamless guest experience?

  1. Handling Unexpected Issues

Events don’t always go to plan. Tell us about a situation where something went wrong on the day or lead up to an event.

What actions did you take to resolve the issue, how did you communicate with the client and team, and what was the outcome?

  1. Balancing Priorities

This role involves a mix of administrative tasks, client liaison, and hands-on event delivery — often all in the same week.

How do you prioritise and organise your workload to make sure nothing falls through the cracks?
